Understanding holds

Hold types

  • Registration – Prevent registration activity (adding/dropping)

 Most common

  • AD (Advisor Registration) – Used by NTC Advising for various reasons.

  •  B1, BR (Accounts Receivable Registration) – Used by A/R to block registration due to outstanding balance.

  •  DA (Grad App Rcvd Registration) – Placed on students who have applied to graduate. Prevents registration in future terms. See more about DA holds >

  •  HI (Immunization) – Placed on incoming students automatically. Prevents registration until immunization records are submitted.​

  • HT (Supplemental Immunization)

Less common

  •  AH (Athlete Registration) – Used by Athletics Advising to ensure athletes are advised before registering.​

  •  AR, CS, GM, LA, LS, MD, PH, SB, SE, SW, UD (Dean’s Registration) – Used by Deans Offices in each school.​

  •  FA (Financial Aid Registration) – Used by Financial Aid for various reasons.​

  •  HG (Housing Registration) – Used by Housing for various reasons.​

  •  HS (Health Services Registration) – Used by Student Health for various reasons.​

  •  IS (International Student Registration) – Used by OISS for various reasons.​

  •  LR (Student Loans Registration) – Used by the Student Loan Office due to incomplete exit interview.​

  •  RR (Registrar Registration) – Used by Registrar’s Office for various reasons.​

  •  SA (Student Affairs Registration) – Used by Student Affairs to prevent registration for various conduct issues.

  • Transcript – Prevent transcripts from being released

 Most common

  • B2, BT (Accounts Receivable Transcript) – Used by A/R to prevent transcript release due to past-due balance.​

  •  LT (Student Loans Transcript) – Used by Student Loans Office to prevent transcript release due to incomplete exit interview.

Less common​

  •  RT (Registrar's Office Transcript) – Used by the Registrar’s Office to prevent transcript release for various reasons.

  • Diploma – Prevent diplomas from being released

  •  B3, BD (Accounts Receivable Diploma) – Used by A/R to prevent diploma release due to past-due balance.​

  •  LD (Student Loans Diploma) – Used by Student Loans Office to prevent diploma release due to incomplete exit interview.

  • Functional – Used to hide links in Gibson Online for various web tools

 Functional holds are not visible to students.

Most common

  • OA (Online Degree App) – Applied upon admission. Hides access to the Online Application for Degree in Gibson Online.​

  •  OW (Online Withdrawal) – Applied upon admission. Hides access to the Online Withdrawal form in Gibson Online.

Less common

  • AA (Athletic Advisor) – Used by Athletic Advising to control access to various web tools for athletes.​

  •  CI (CIEE) – Used by Registrar’s Office for various functions around CIEE.​

Some holds are applied to students automatically. Automatic holds will have an Origination Code of “AUTO.”

Viewing holds

In the SOAHOLD key block, enter the Student ID. Go.

Managing holds

Adding a hold

Click insert to add a row.

If you know the hold code, enter it, or click the Look up button to view and select values.

  • Adding a Reason is optional.

Tab to the From field. Today’s date auto-populates in the From field and a future date (12/31/2099) in the To field. Save.

  • Holds can be set to become effective in the future (for example, immunization holds) by setting the From date to a date in the future.

  • From dates cannot be later than the To date.

Releasing/ending a hold

Holds are only ended, not deleted. Holds can be ended for a future date or on today’s date (effective immediately).

Select the hold by clicking on it. Enter the hold end date in the To field. Save.

Common hold types and their custodians

If you have access to update SOAHOLD, you have access to add or end any holds. You should only add or end holds within the scope your area’s responsibility.

DA Holds

When students submit a graduation application, the DA Graduation App Rcvd Reg Hold. When students indicate that they’ve been admitted to a graduate program or are in a 4+1 program preparing to go into their graduate (“+1”) term, they should be directed to the future-term program office.

The future-term program office should end the DA hold so that these students can register when their time ticket opens.
